Position summary:
The Customer Order & Engagement Specialist is responsible for delivering exceptional customer support, managing inquiries, and processing orders accurately and efficiently. This role acts as the key point of contact for customers, ensuring their needs are met promptly while maintaining a high standard of service. Knowledge of German and/or French is desirable and will be considered a significant advantage.
Key responsibilities:
- Process and manage customer orders accurately and promptly in the system
- Verify order details, pricing, and product availability
- Monitor and update order status, ensuring timely communication with customers
- Serve as the primary point of contact for customer inquiries, concerns, and complaints
- Provide timely and accurate responses to questions about products, services, pricing, and order status
- Resolve issues related to orders, such as delays, discrepancies, or returns, maintaining a customer-focused approach
- Liaise with internal teams (e.g., planning, sales, logistics, warehouse) to coordinate order fulfilment and address customer needs
- Communicate shipping schedules, delivery updates, and any changes to customers effectively
- Maintain accurate records of customer interactions, orders, and resolutions in the system
- Generate and analyse reports on order trends, issues, and customer feedback to support continuous improvement
- Identify and address issues proactively, minimizing disruptions in the order-to-delivery process
- Escalate complex problems to relevant departments or management as needed
- Ensure compliance with company policies and procedures in all customer service and order-related activities
- Strive to meet or exceed customer expectations through consistent and reliable service
- Build and maintain positive relationships with customers, fostering loyalty and trust
- Gather and relay customer feedback to help improve products, services, and processes
Job Requirements:
- Associate or bachelor’s degree in supply chain management, Logistics, Business Administration, or a related field (Desirable)
- Minimum 2-5 years of experience in a customer service, order management, or related role, preferably within a logistics, manufacturing, or supply chain environment
- Very good in in English, German and/or French both written and spoken
- Proven experience managing customer relationships and resolving inquiries or complaints effectively
- Familiarity with order processing systems, CRM software, and ERP platforms (e.g., SAP, Oracle, or similar systems)
- Knowledge of shipping processes, inventory management, and basic supply chain principles
- Understanding of customer service best practices and key performance metrics (e.g., response time, resolution time)
