Fleet Manager / Maintenance Coordinator

•Working Hours: 1:30 PM – 10:00 PM (Monday–Friday)
•Location: Office-based position in Belgrade (no remote or hybrid option)

Company Overview

The company currently operates a fleet of approximately 65–80 trucks, with this position serving as the sole Fleet Manager/Maintenance Coordinator responsible for the entire fleet. The company has been in business for over four years and has an established operational structure, with all other business roles already in place and no overlap of responsibilities.
Operations are primarily owner-operator based, running under two MC numbers with an approximate 50/50 truck split, operating mainly in Nebraska and Ohio under interstate regulations. The company maintains a strong focus on DOT compliance and CSA scores, which must be closely monitored and strictly regulated.

Position Overview

We are seeking a dependable and detail-oriented Fleet Manager / Maintenance Coordinator to oversee fleet maintenance, driver compliance, and equipment management while ensuring adherence to DOT and FMCSA regulations.

Key Responsibilities

  • Schedule and coordinate routine and preventive maintenance for trucks and trailers
  • Manage roadside assistance, including coordinating towing services, repair shops, and mobile mechanics
  • Ensure drivers record and submit pre-trip inspection videos for review and evaluation
  • Closely monitor driver activity through Samsara, identifying potential violations such as speeding, hard braking, and harsh cornering
  • Assist with company equipment management, including trailer rentals, ELD devices, cameras, decals, IFTA stickers, permits, and PrePass devices
  • Support administrative fleet tasks such as issuing license plates, submitting quarterly IFTA reports, and reviewing PrePass statements
  • Ensure drivers have all required paperwork and documentation in their vehicles
  • At the beginning of each workday, verify driver ELD compliance, including log certification and proper reporting of Bills of Lading (BOLs)
  • Support and enforce compliance with DOT/FMCSA regulations related to Hours of Service, ELD usage, vehicle maintenance standards, and driver documentation

Reporting Structure

This position reports to the Safety Manager or Operations Manager, depending on the nature of the issue or task

Qualifications

  • Minimum of 1 year of experience in a fleet management or maintenance-related role
  • Proficiency in Microsoft Office, with strong Excel spreadsheet skills required
  • Strong written and verbal communication skills in English
  • Strong organizational, problem-solving, and time-management skills
  • Ability to work under pressure in a fast-paced, compliance-driven environment
