We are seeking an experienced Head of Bookkeeping & Financial Renovations to join our team and support our partner company, Pivot Business Group. Pivot Business Group is a fast-growing financial strategy firm that partners with online service providers across various industries to deliver CFO services, tax strategy, financial consulting, and bookkeeping. Their mission is to help entrepreneurs achieve their growth goals with confidence.

The Head of Bookkeeping & Renovations is responsible for leading and managing Pivot’s two core accounting delivery teams: the Bookkeeping Department (handling ongoing monthly accounting for clients) and the Renovations Department (managing catch-up, cleanup, and special project work). This role ensures operational excellence, client satisfaction, and timely delivery across both departments.

QuickBooks Online knowledge is mandatory. Please apply only if you have experience using QuikBooks.

Responsibilities:

– Leadership & Management  

  • Directly oversee the Bookkeeping and Renovation teams
  • Conduct weekly team meetings to track performance, client status, and project pipeline
  • Manage workload assignments, deadlines, and cross-team collaboration through ClickUp
  • Develop and enforce department KPIs for timeliness, accuracy, and responsiveness
  • Lead onboarding and training of new team members, ensuring alignment with Pivot processes and culture

– Operations & Quality Control 

  • Oversee the monthly bookkeeping cycle for all clients
  • Conduct monthly quality control reviews on client files to ensure compliance and accuracy
  • Oversee all renovation projects from scoping to completion
  • Review and approve all completed renovation projects before invoicing
  • Identify process bottlenecks and implement automation or system improvements

– Analysis & Sales Support 

  • Participate in the sales and scoping process for new renovation projects
  • Review client files and conduct bookkeeping validity analyses to identify cleanup needs
  • Create project quotes and budgets for proposed renovation work based on file condition, estimated hours, and complexity
  • Provide recommendations to the sales team for pricing and timeline adjustments
  • Maintain an up-to-date database of standard renovation pricing and scope templates
  • Partner with leadership to improve profitability and efficiency in project estimating and delivery. 

– Client Relationship Management

  • Serve as the senior point of contact for all bookkeeping and renovation clients
  • Handle escalations, questions, and issues with professionalism and urgency
  • Conduct quarterly client check-ins to review financials and ensure satisfaction
  • Collaborate with the CFO and Tax teams to ensure books are aligned for tax and strategy purposes. 

– Collaboration & Communication 

  • Partner with the COO/Integrator on forecasting capacity, hiring needs, and system improvements
  • Communicate department updates, challenges, and wins in leadership meetings
  • Support cross-department collaboration to ensure a seamless client experience from onboarding through ongoing service

– Performance Management & Reporting

  • Track and report department performance metrics weekly and monthly
  • Provide insight on workload distribution, client health, and revenue opportunities
  • Identify and address performance issues promptly and professionally
  • Recommend promotions, training, or restructuring based on evolving business needs 

Qualifications:

  • Proven experience in US bookkeeping, accounting, or financial operations
  • Prior management or team lead experience required (preferably remote)
  • Excellent knowledge of QuickBooks Online and common accounting workflows (2+ years of experience)
  • Strong organizational and project management skills
  • Fluent in written and spoken English
  • Excellent communication and leadership presence
  • Ability to thrive in a fast-paced, growing company environment
  • Tech-savvy and comfortable managing systems like ClickUp, Slack, Double and GSuite
