Office Administator (18-24 months contract, maternity leave cover)

Key Responsibilities:
- Organization of a document flow between the company and its counterparties, systematization and archiving of the originals (including the use of the specialized DMS/ERP programs for such purposes);
- Reception, registration, timely distribution and controlling of all incoming correspondence;
- Monitoring and preparation of documents for signature;
- Familiarization of employees with internal documentation;
- Interaction with different departments of the company; communication in English, Serbian and Russian;
- Reception of the incoming calls;
- Arranging the business trips: booking tickets, accommodation, taxi or car rentals; handling visa requests. Interaction with the financial (and other) department of OCSiAl Europe in this regard, assistance in the preparation of reporting documents;
- Controlling and receiving some services related to the office maintenance (eg. Cleaning services, gardening services etc.);
- Preparation and editing business documents and official letters both in English and Serbian;
- Creating purchanse requests and controlling stock of stationery material, water, safety equipment and other office materials;
- Organization of internal/external meetings and events for Company employees;
- Translation of internal documents from/to Russian, Serbian and English.
Required Qualifications and Experience:
- higher education;
- proficient in Serbian and English, Russian is preferred.
- MS office proficiency;
- minimum 1 year experience;
Knowledge of:
- rules of business correspondence and etiquette;
- rules for the protection of confidential proprietary information;
- structure of the organization and distribution of functions between structural units and specialists;
- basics of contractual work, the procedure for concluding contracts;
- rules for working with incoming, outgoing, and internal documents;
- rules for the preparation and execution of information, reference, organizational, and management documents.
