Office Assistant

Key responsibilities:

  • Oversee and support all administrative duties in the office and ensure that the office is operating smoothly
  • Manage information flow in a timely and accurate manner
  • Act as the point of contact between executives, employees, clients, and external partners
  • Schedule and organize personal and group meetings locally and internationally, and maintain calendars
  • Coordinate daily mail activities, ensuring efficient handling of both incoming and outgoing posts
  • Manage internal administrative procedures such as printing, document binding, cards and keys usage, library management, and record keeping
  • Maintain records of fixed assets and technical equipment in coordination with the IT team
  • Collaborate with the cleaning, technical maintenance and security systems support teams to ensure smooth daily operations
  • Manage office and marketing supplies, request quotations, prepare comparative cost analyses, and ensure efficient procurement and delivery
  • Prepare and format documents and content for internal and external communications, including memos, emails, presentations, and reports
  • Coordinate travel arrangements, prepare itineraries, plan logistics, and process expense reports
  • Assist in organizing and supporting internal events, training sessions, seminars, and webinars by coordinating venues, equipment, and logistics

What we are looking for:

  • Bachelor's degree or high school diploma
  • At least 2 years of work experience in an office management role
  • Flexibility, self-driven approach, with exceptional attention to detail
  • Excellent organizational and time management skills, and ability to prioritize multiple tasks
  • Strong communication and interpersonal skills and team-oriented person
  • Proficiency in working with MS Office package and related applications
  • Advanced written and spoken English
