Summary
We are seeking a highly skilled Procurement Admin Expert to join our team. The ideal candidate will have extensive knowledge of Purchasing department operations, end-to-end contract administration, and the ability to understand contract clauses. Proficiency in tools such as Ariba, Adobe, SAP, Power Apps, and Microsoft Office applications is essential. This role requires a detail-oriented individual with strong organizational and communication skills to ensure efficient procurement processes and contract management.
Responsibilities
- Contract Operations: Manage and oversee contract operations, ensuring compliance with company policies and procedures.
- End-to-End Contract Administration: Handle all aspects of contract administration, from initiation to execution and follow-up, ensuring timely and accurate processing.
- Tool Mastery: Utilize Ariba for procurement processes, Adobe for document management, and Power Apps for workflow automation. Proficiency in Microsoft Office applications (Excel, Word, PowerPoint) is essential.
- Reporting and Analysis: Generate reports and analyze data to provide insights into procurement activities and identify areas for improvement.
- Follow-up of RFxes in the various systems (e-sourcing, e-approval) and the creation/follow-up of the various documents (NDAs, RFX, contrats, ExecSum, , ...) in the purchasing process.
- Follow-up and creation of contracts from the NDA phase to the signing and archiving (CLM) includes the process from PO to invoice.
- Assist in the analysis and reporting related to the purchase categories in your purchasing domain and the analysis of the answers to RFx's within the predetermined timeline of the internal customer.
- Compliance and Risk Management: Ensure all procurement activities comply with legal and regulatory requirements, and manage risks associated with contracts and vendor relationships.
- Collaboration: Work closely with the buyers to understand their needs and provide support as required.
- Proficient English Writing and Speaking Skills: Communicate effectively in English, both in writing and speaking, to ensure clear and professional interactions with vendors, colleagues, and stakeholders.
Qualifications:
- You have a Bachelor's degree in Business Administration, Supply Chain Management, or a related field.
- You have proven experience in procurement and contract management, with 3-4 years of relevant working experience.
- You have expertise in using SAP, Adobe, Power Apps, and Microsoft Office applications. Knowledge of ARIBA would be a significant advantage.
- You are proficient in Excel, including the ability to create reports, knowledge of pivot tables, and the capability to merge data from different databases into comprehensive reports.
- You possess strong analytical and problem-solving skills.
- You have excellent communication and interpersonal skills.
- You can work independently and as part of a team.
- You can quickly adapt to changing circumstances.
- You work with precision to avoid errors.
- You are detail-oriented with strong organizational skills.
- You have proficient English writing and speaking skills.
